Privacy notice for Degree Celebration

How the University uses personal data submitted during online graduations

Why we are asking for this information 

Lockdown restrictions resulting from the Covid-19 pandemic prevent us celebrating the success of our students obtaining their degrees in the usual way at the Caird Hall in Dundee. However the University would still like to give you the opportunity to celebrate your achievement with the Degree Celebration virtual events. These Degree Celebration events will be held for each School during the week of 24-28 August 2020. 

The Degree Celebration will be hosted online by StageClip Ltd. You will be invited by StageClip to upload a video clip or provide a picture and message which StageClip will use to create the virtual celebration. If you wish to participate we will need your consent to pass the information you supply in completing the Degree Celebration form to StageClip, so they can send you an email with details of how to take part. 

The resulting footage that StageClip will produce will be posted on the University of Dundee YouTube channel indefinitely and StageClip will retain the footage for two years, then they will delete it. You will also receive your own personal clip and message to share on social media. 

Personal data 

In the completion of the Degree Celebration form the University asks you to provide your: full name, email address, matriculation number and your subject of study. With your consent this information will be shared with StageClip. 

StageClip will then get in touch and ask you to provide them with a video clip or a picture and message if you wish to take part. You should refer to StageClips Privacy Notice for more information on how this service secures your data. 

Special categories of personal dat

The University does not require any special categories of personal data in the completion of this form. 

Data controller 

The University of Dundee will be the data controller for the information you provide in the Degree Celebration form, if you consent for us to share that information, StageClip Ltd will process that data on our behalf. 

Any information you supply directly to StageClip they will became the data controllers for. You should refer to StageClips Privacy Notice for more information on how this service secures your data. 

Lawful processing 

If you choose to provide personal data in response to our questions, it will be processed on the basis of your consent (for example, you have taken explicit steps to provide that information to us). You can withdraw your consent at any time. To withdraw your consent to the processing of your personal data contained in the Degree Celebration form email: [email protected]. Please note that any data you provide to StageClip directly they will be the data controllers of that data. 

Your rights 

The University respects your rights and preferences in relation to you. If you wish to update, access, erase, limit the use of your information or if you wish to complain about the University’s use of your information please contact the University’s Data Protection Officer in the first instance by emailing [email protected]. You may also wish to contact the Information Commissioner’s Office.
